Position Title: Common Services Assistant
Classification: LE-05

Employment: Indeterminate position

Annual Starting Salary: R$70.106,00 + Benefits
Eligibility: This position is open to individuals who are residing in Brazil and are legally eligible to work in Brazil.

Note: No payment will be made for any moving related expenses resulting from the acceptance of this position.

Screening Requirements:

Education: University Degree from a recognized university, or acceptable combination of education, training and/or experience.

Language: Fluency in Portuguese, English and/or French (reading, writing and speaking)

Experience:

  • At least 3 years of recent work experience in one of the following areas: finance, property, contracting, HR, Customs and/or general office  procedures in a corporate or government office.
  • Computer skills: MS-Office Suite (including Word, Excel, PowerPoint, Outlook), Internet and SAP.

Job Summary:

Under the supervision of the MCO/DMCO (Management and Consular Affairs Officer / Deputy Management and Consular Affairs Officer), the incumbent is accountable for the provision of administrative support services of mission specific common services and the coordination of regionalized common services requests from the mission to the Common Services Delivery Point (CSDP). Responsible for the provision of documents, information and a variety of administrative services in support of more than one of the following areas: finance, human resources, customs, materiel management, procurement, contracting, property and facilities management processes and other duties as required.

Rated Qualifications:
Candidates who are contacted for this recruitment action should be prepared to demonstrate their knowledge and experience with the following items.

Knowledge:

  • Knowledge of administrative, customs and office procedures;
  • Knowledge of basic financial procedures;
  • Knowledge of Portuguese, and English or French language;

Ability:

  • Ability to research, analyze and evaluate information effectively;
  • Ability to synthesize information and prepare briefing material;
  • Ability to assess and determine priorities, organize duties, work under pressure and meet deadlines;
  • Ability to work independently and as part of a team;
  • Ability to communicate courteously and effectively with clients, both orally and in writing in Portuguese, English and/or French;
  • Ability to organize electronic data using Microsoft Office Applications, including Outlook, Excel and Word.

  • There is exposure to stress when responding to multiple and concurrent demands and to deal with time pressure and tight deadlines.
  • There is exposure to stress when working with local suppliers.
  • May be required to work overtime on short notice.
  • May be required to work directly with the public.
  • May be required to travel within and outside of Brazil for training and conferences.
  • Must be accountable for cash reconciliation and reimbursements.
  • Working hours of the Consulate General: Mon-Thu 8h-17h / Fri 8h-13h30

Conditions of Employment:

  • The appointment of the successful candidate will be subject to a Reliability Status Check (RS) obtained by Management.
