Job Description (Roles and Responsibilities)
Main purpose of job

To assist the Corporate Services Team at the British Consulate in Rio de Janeiro in providing support to Estates, Security and Transport, IT and HR departments to deliver a good level of service to internal and external clients.

What will the jobholder be expected to achieve?

Provide general assistance to sector team, which includes:

Assistance in the organisation of events
Updating databases
Making reports
Researching for new suppliers, products or technical assistance of existing products
Liaising with suppliers and contractors, quoting and organise maintenance works
Escorting contractors and suppliers within the official properties
Updating inventory
Organising the transport booking
Researching for new suppliers, products or technical assistance of existing products
Giving support to internal clients
Giving support with the update of the Customer Relation system Administrative Assistant/IT
Setting up IT equipments such as VTC and computers when necessary
Controlling and purchasing stationery when necessary
Booking hotel and flights
Keep sector charts, texts and presentations updated with accurate information
Ad hoc duties as necessary (e.g. photocopies, escort visitors within the building, filing etc)

Essential qualifications, skills and experience
Essential on arrival:

Have an education/degree ongoing (HR Management, Administration and Psychology are an advantage). He/she should possess an excellent command of written and spoken English and Portuguese with strong organisational, communication, proactiveness, customer service, team-working.

Desirable qualifications, skills and experience
Desirable:

Previous experience in working for a company or diplomatic mission is an advantage.
