CLA region is looking for an ETT based in Sao Paulo, Brazil.
Roles and Responsibilities
- The ETT will be responsible for the full range of office support work, including managing processes and monitoring schedules related to their Team’s products and tasks. He/She will report to the Brazil Country Manager;
- The candidate will coordinate extensively with the Office staff and liaise frequently with team members both at Headquarters and in the Facility Country Offices, as well as external counterparts. He/She will work regularly and substantially in more than one language (English/Portuguese), including translating/drafting a variety of standard documents, applying effective proofreading and grammar skills in English and Portuguese.
Duties and Responsibilities
- Answer phone calls, take messages and direct them where appropriate; post notices/messages for the IFC Sao Paulo staff and visiting missions;
- Greet, assist and announce walk-in clients, vendors, job applicants and other visitors to the IFC Sao Paulo Staff in a courteous and professional manner; answer questions and direct them to the appropriate individuals in the Office;
- Receive, sort and distribute incoming mails, faxes and courier packages;
- Reserve, monitor and prepare conference rooms for scheduled meetings;
- Responsible for delivering checks to the vendors, coordinating with the Finance Team;
- Process the Diplomatic Pouch mailing to/from DC;
- Coordinate the flow of incoming and outgoing documents;
- Draft and edit routine correspondence, as required by task managers;
- Assist task team in the preparation and logistical planning of conferences, workshops, seminars, etc, as required;
- Support other assistants in their absence and during heavy workload periods;
- Support the team members with a variety of tasks: i.e. documents, xerox, pouch, etc;
- Maintain and organize a file with courier invoices;
- Track, follow-up and support the office services bills to be paid;
- Quote for office supplies and miscellaneous materials;
- Organize meeting rooms and stock of office materials.
Selection Criteria
- Minimum Education/Experience: High school diploma with 1 year of experience;
- English and Portuguese languages are essential;
- Knowledge of Word / Excel / Power Point/ Lotus Notes;
- Desirable knowledge of WBG organization, relevant business practice and procedures, including records management and filing procedures.
